Leading West Texas Air Conditioning and Plumbing Services Company Implements Kofax Express to Address 32-Year Paper Backlog. Bruce Thornton Air Conditioning uses Kofax Express Software to Quickly, Efficiently and Accurately Scan, Index and Store More Than 4,500 Service Account Documents Weekly.

The Challenge
With an enormous 32-year backlog of paper files, BTAC was searching for a fast, reliable and easy-to-use tool to scan, organize and store its service and accounts records electronically. The company required a turnkey solution with the capacity to scan thousands of documents weekly. Moreover, it needed the capability to capture, correct, separate and archive these images quickly and accurately from poor quality carbon paper based service tickets, each with a multitude of supporting paperwork in varied formats and structures.

The Solution
After an extensive search and evaluation for its ideal scanning tool, BTAC turned to Kofax Express, an all in one scan to archive software package for image capture applications. Built on the Microsoft Office 2007 user experience, the application provides the company with the batch scanning functionality it needs within a high performing platform that is easy to deploy and simple to use.

Among Kofax Express’ features, one of the most valued by BTAC is the ability to save captured images in PDF and TIFF formats, which makes it easy for staff to index, store and retrieve scanned documents. Kofax VirtualReScan (VRS) technology, which is included within Kofax Express, also enables the company to scan documents that often look better than the paper originals, a vital function given its high volume of low image quality documents.

“When we began our search for the perfect scanning tool, we found nothing. Every product on the market was either years behind in both user interface and hardware capability, relied on extremely slow and clunky mechanisms to get the job done, or only allowed us to scan and export into one massive PDF/TIFF file,” said a BTAC representative. “Kofax Express solved our problem because it allowed us to do what a scanner was designed for – store the scanned images. Kofax took their strengths (VRS) and made a product that gave me control of the scanning process.”

The Results
Since implementing Kofax Express, BTAC reports that it is impressed by how fast the application runs and that it is continuing to leverage the software to automate its paper centric operations. Currently, the company is scanning approximately 4,500 documents weekly.
