The Challenge
Every week, Flintco was receiving several thousand incoming invoice, purchase order, contract, IT requisition, employee benefits and HR-related documents. These documents were being delivered by ground or air transport from its eight operational sites stretching across the country from Memphis to Sacramento. Flintco wanted to decrease its overall paper burden and the accompanying high costs involved with transporting and storing these documents. Additionally, the company needed a cost effective automated system that was simple for staff to use, highly flexible to accommodate its distributed environment and able to seamlessly handle documents in a multitude of orientations.
The Solution
Following an extensive review of available scanning options, Flintco chose Kofax Express, an all in one software application that makes it easy to accurately scan, organize and store documents at speeds that make short work of both its large and small batches. Importantly, Kofax Express provides the company with scalable batch scanning functionality and flexible configuration, both of which are vital given its distributed model and variable volume needs from location to location. Flintco also reports that the software is easy for staff to use and understand. In addition, it features automatic orientation of scanned documents, enabling staff to process documents faster by keeping scanners in continuous operation. “The features I really like about Kofax Express include the best automatic document enhancement feature in the industry, easy and flexible configuration and automatic orientation of documents,” said a Flintco representative. “Since the product is so easy to use, training the scanning operators was a snap. Also, since we have a distributed scanning model, pricing was important. I appreciated that at lower volume sites where we use slower desktop scanners the price for Kofax Express was less than our higher volume locations.”
The Results
Since implementing Kofax Express, Flintco is now scanning more than 3,500 documents weekly, with document files ranging in size from one to 100 pages each. For accounts payable documents, the application feeds directly into the company’s invoice approval workflow system, thereby accelerating payment cycles.
