Description

Caseo is practice management software built for South African law firms. Matters, clients, the diary, trust and business accounting, invoicing and reports live in one calm place, so your team stops working around its software and gets on with the work. Trust accounting is built around LPC Rule 54: trust and business ledgers are kept apart, a client's trust balance can't go into debit, and month-end reconciliation against your bank statement ends with a sign-off that locks the month. Every matter keeps its notes, documents, deadlines and money on one screen, with a client portal, matter sharing with other firms, a phone app, payment plans and a sync to Xero. One price for the whole firm: R1, 000 a month with unlimited users, no setup fee and free migration from your current system.

Company description

Caseo is practice management software built for South African law firms. Most legal software makes your team work for it: separate modules, consultants and screens from another decade. Caseo is the whole practice in one place, made clear enough that your staff learn it in a day.

Matters and clients
Every matter keeps its history, notes, documents, diary dates and money on one screen. Open a matter beside the list, then its client beside that, and work on both without losing your place. Clients are matched on ID number, so the same person never enters your books twice, and a conflict check runs when a new matter is opened. Search the whole practice from one box, or filter matters in plain words such as "closed with money in trust".

Trust and business accounting
Trust accounting is built around LPC Rule 54. Caseo keeps the trust and business ledgers apart, refuses to put a client's trust balance into debit, and records every receipt, transfer and payment against the matter it belongs to. Month-end reconciliation imports your bank statement, matches it to your ledgers and ends with a sign-off that locks the month. Section 86(4) investments have their own register on each matter. Receipts, statements of account and reports print on your own letterhead.

Fees, invoices and payment plans
Record fees and disbursements as you work, keep work in progress off the bill until you finalise it, and raise tax invoices from the same screen. Payment plans let you agree a fee with a client and invoice each instalment as it falls due, so the balance owed is always clear and VAT is accounted for per instalment. Fee invoices, payments and business account entries can sync one way to Xero for your bookkeeper; trust money stays in Caseo.

Diary and deadlines
Court dates, prescription dates and follow-ups sit on the matter they belong to and are assigned to the person carrying it. Each morning, everyone gets an email of what is due and overdue. Playbooks turn your firm's usual steps into a checklist you start on any matter, with dates that land in the diary. Your Caseo diary can appear in Google Calendar or Outlook through a private calendar feed.

FICA
Record customer due diligence for every client against your firm's own Risk Management and Compliance Programme: a risk rating, the documents each level needs, beneficial owners for companies and trusts, and review dates set by the rating. Screen clients against the FIC's targeted financial sanctions list and keep an inspection pack ready.

Working with clients and other firms
Each client can have a private portal to see their matter, documents and invoices and to message the firm, instead of phoning to ask. Share a single matter with a correspondent or another firm without opening your whole practice, and give your outside accountant read-only access to the books. Before anything leaves the firm, Caseo shows you exactly who will see what.

Voice notes and suggestions
Record a quick voice note on a matter from your phone after court or a meeting, and Caseo types it out and files it for you. Suggested next steps point out matters that have gone quiet, entries with no diary date and other gaps, each with the reason it was raised, and open the right form already filled in.

Reports and analytics
Trust balances per client, month-end packs, matter activity, referral sources, fees owed and workload, filtered by any date range, status or referral source and shown in detail or as a summary. Every report prints on your letterhead or exports to a spreadsheet.

Moving to Caseo
Migration is free. Bulk Entry brings in your existing files and opening trust balances from a spreadsheet or your current system, and we work through the move with you. There's a phone app for the corridor, step-by-step video tutorials for every screen, and permissions per person so staff see only what they should.

Pricing
One price for the whole firm: R1,000 a month with unlimited users. No setup fee, no modules and no per-seat pricing. If Caseo isn't the right fit for your firm, we'll say so.
